The Day I Realized Cheap Isn't Cheap

I took over purchasing for our 150-person manufacturing support facility back in 2020. At the time, my boss—the operations manager—gave me one clear directive: "Keep costs down." The best o-ring lubricant depends on the specific o-ring material and the operating environment. A silicone-based lubricant designed for EPDM rubber might not be suitable for fluorocarbon seals. And vice versa. I didn't know this. I assumed all lubricants were basically the same.

Our current supplier—whose pricing is actually very competitive once you include the technical support—recommended a specific dow corning silicone emulsion for one of our assembly applications. According to the supplier's documentation (verified by the technical data sheet), that specific emulsion series is formulated for compatibility with a wider range of elastomers and has a higher flash point. Dow Corning 790 Silicone Building Sealant Savings That Backfired

In 2023, our facilities manager asked me to source a building sealant for a window and curtain wall resealing project. We had used a specific brand before—I found an old purchase order for dow corning 790 silicone building sealant. But I thought, "It's just sealant. Let me see if I can find a better price."

I found a generic building sealant for about 30% less per tube. The facilities manager was skeptical but agreed to try it. That was a mistake. Within eight months, we noticed cracking at the joints—specifically in areas with high thermal movement. The sealant didn't have the same flexibility as the 790 spec.

I learned the hard way that the cheapest silicone mold from a generic supplier might not release properly or might degrade after a few cycles. The Wilton brand molds—which use food-grade silicone—actually lasted much longer in a production prototyping environment.

Similarly, a standard rubber eraser might seem like a trivial purchase. But when I sourced a bulk pack from an unknown vendor for our warehouse, the erasers smudged the paper instead of erasing cleanly. That sounds minor, but it caused a quality check issue in our shipping department—one of the clerks flagged it, and we had to rework a batch of paperwork. The cheapest erasers cost us an hour of overtime.

Bottom line: I now calculate TCO before comparing any vendor quotes. That means adding up not just the unit price, but shipping, setup time, potential failure rates, rework costs, and compatibility with our existing materials. The $500 quote from Vendor A might actually be cheaper than the $350 quote from Vendor B after you account for the downtime cost of a sealant failure or the waste from a bad lubricant.

Per our supplier's technical bulletin (accessed March 2025; verify current specs at the manufacturer's website as formulations may be updated), the Dow Corning 790 sealant meets ASTM C920 Class 25 specification for high-movement joints. The generic alternative we tried only met Class 12.5. We learned the difference the hard way.

Final Thoughts

Part of me still wonders if I could have found a genuinely good value alternative. On one hand, I know there are quality products at different price points. On the other, I've been burned enough times that I'm now very skeptical of any vendor who can't provide proper technical documentation or a certified material data sheet. I compromise by sticking with suppliers who have a track record of reliability, even if their unit price isn't the absolute lowest.

If you're in a similar position—procuring for a company where downtime is expensive—take my advice: look at the total cost. The price tag on the shelf is just the beginning. A $11 tube of the right lubricant can save you an $800 repair. A $15 tube of the right building sealant can save you a $3,000 rework. And a supplier who provides proper documentation and technical support? That's worth paying for, because it keeps you from making expensive mistakes based solely on unit price.

As of March 2025, I still buy from multiple vendors, but I verify technical compatibility before I place any order. The cheap-o-ring lubricant? I have a bin of it I refuse to throw away—as a reminder.
